Role Overview:

The Events Coordinator will help lead the planning and execution of internal team events and in-person visits from schools participating in the Ben Stelter School Fundraiser (BSSF). This includes organizing team social activities, wrap-ups, and celebration calls, and helping manage schedules and logistics when schools book in-person visits or meetings with the BSSF team. This is a dynamic and hands-on role ideal for someone who enjoys people, planning, and coordination. Applicants must be in Grade 7 or above during the 2026–2027 school year. The role begins in April 2026 and runs until January 2027, with the busiest period being September to December, when school events are in full swing.


Role timeline:

Duration: April 2026–January 2027

● April–June: Light planning, onboarding, and internal event brainstorming

● September–December: Peak scheduling and event coordination (school visit scheduling, celebrations, virtual social events)

● January: Wrap-up celebrations and team closure events


Key Responsibilities:

● Plan and help run internal BSSF team events (team meetings, check-ins, wrap-ups)

● Coordinate school in-person visits (e.g., BSSF team visits to schools or school staff/student visits to BSSF)

● Schedule and manage calendar invites for meetings, visits, and events using Google Calendar

● Maintain and update event trackers using Google Sheets, including event schedules and participant lists

● Send reminders and follow-ups for scheduled events

● Collect and organize feedback from team members and schools after events


Requirements:

● Strong organizational and scheduling skills

● Ability to read, update, and edit spreadsheets (Google Sheets)

● Ability to create and manage calendar invites and track logistics

● Comfortable communicating with internal teams and school contacts

● Energetic and enthusiastic attitude toward people and event planning

● Willingness to adapt quickly and jump in when things shift unexpectedly
