About This Opportunity

Position Overview


The Recording Secretary plays a key role in supporting the Board of Governors by documenting and maintaining official records of Board business. 


This individual is responsible for preparing clear and timely minutes for all monthly board meetings, including closed sessions and the Annual General Meeting.


The Recording Secretary will also be listed on the organization’s roster of volunteers, providing opportunities to participate in a variety of community events and contribute to special initiatives.


Reporting to the Board of Governors and Executive Committee.


Key Responsibilities


  • Board Minutes Production

    • Prepare, draft, and finalize minutes for monthly Board meetings, closed sessions, and the Annual General Meeting.

    • Ensure minutes are accurate, concise, and distributed within 2-3 weeks of the appropriate event.

    • Maintain confidentiality and uphold the integrity of Board records.

  • Administrative Support (as required)

    • Assist with scheduling and setting up meetings.

    • Record minutes for Board committees when requested.

    • Conduct follow-up calls and support Board-related administrative needs.

  • Volunteer Engagement

    • Participate in community events and support volunteer initiatives as availability allows.

    • Contribute to event set-up, coordination, and other activities that advance the organization’s mission.

Compensation & Expectations


    • Attendance at meetings (virtual or in-person) is not mandatory and will not be compensated.
    • Travel expenses are not covered for this position.



Qualifications


  • Strong writing and organizational skills with proven ability to prepare accurate records.

  • Reliable, detail-oriented, and able to work independently with minimal supervision.

  • Experience in administrative support, board governance, or minute-taking is considered an asset.

  • Commitment to confidentiality and professionalism.
