POSITION SUMMARY
The Adoption Contracts Counsellors meet with adopters for a detailed, line-by-line review of the cat adoption contract and its’ clauses. This is the final step of an adoption, prior to the cat(s) leaving their foster for their new home.
These meetings are highly structured to conform to VOKRA procedures and follow a consistent flow or ‘script.’ The Counsellors process adoption fee payments; issue receipts, contracts and medical records. Meetings are scheduled via online booking software and are held over the phone.
PRIMARY DUTIES AND RESPONSIBILITIES
Meet with adopter (via phone or teleconference) to discuss the contractual details of the adoption:
- Contact adopter to confirm meeting details.
- Prepare a personalized adoption contract service; includes information specific to each cat on their food intake, litter, health history and upcoming medical appointments.
- Ensure the adopter is provided knowledge on each VOKRA adoption policy included in the contract; the adopter must agree to comply with them.
- Process fee payments via e-transfer or credit card and issues receipts.
- Ensure adopter has all necessary documentation for their cat(s).
- Upon completion of the meeting, finalize adoption with external emails, update message centre with appropriate information.
Utilizes VOKRA provided computer software to complete the necessary forms for each cat:
- Databases and templates
- Scheduling software
- Message centre software 2
Regularly check of email for notifications of adoption meetings, other information pertinent to the Contracts Team or cat adoptions, regular communication with Team Leader, fosters and/or foster coordinators as necessary.
- Provide timely and cordial communications with adopters and other VOKRA volunteers.
- Frequent check of correspondence (emails), which may not be scheduled.
- Work unsupervised and maintain own schedule in on-line booking program.
- Stay current with VOKRA policies and procedures related to adoptions.

As part of the Adoption Contract team under the guidance and direction of the Adoption Contracts Team Leader. Works independently as well as part of a team.
UNUSUAL WORKING CONDITIONS
- Adoption Contract meetings currently take place over the phone or video calling.
QUALIFICATIONS
Previous experience in the following is preferred, but not required:
- Excellent verbal and written English communication skills (phone, email and in person).
- Excellent time-management, organizational and multi-tasking skills.
- Ability to work effectively as a team member and independently.
- Positive attitude.
- Comfortable usage of different computer platforms.
- Able to adapt to changes in stride. Schedules, policies or practices may need to be updated, thus the counsellors should be flexible to accommodate new input.
- Policy adherence: maintain ongoing knowledge of VOKRA policies and procedures related to adoptions (included in training).
- Ability to provide a minimum of 4 hours weekly towards this role.
Due to a training requirement of approximately 10 hours, a minimum commitment to the Adoption Contracts team is 6 months.
