Position Summary:
We are seeking a dynamic, detail-oriented, and community-focused Event Coordinator to lead the planning and execution of VOKRA’s fundraising and public engagement events. The ideal candidate is a self-starter with strong organizational skills, a collaborative spirit, and a passion for animal welfare. This role is central to helping us raise critical funds and strengthen our connection with supporters through meaningful, mission-aligned events.
While VOKRA holds multiple events each year, the Walk for the Kitties is our flagship annual fundraiser. The Event Coordinator will play a key leadership role in ensuring its success, along with other seasonal or one-off events such as volunteer appreciation days, adoption fairs, and third-party fundraisers.

Key Responsibilities:
Event Planning & Management
* Lead the end-to-end planning of VOKRA-hosted events, including timelines, budgets, permits, and logistics
* Develop and manage detailed event plans and critical paths to ensure timely execution
* Work collaboratively with internal teams (fundraising, marketing, adoptions, admin) to align event goals with organizational priorities
* Source and manage vendor contracts (e.g., equipment rentals, venues, printing, catering, etc.)
Volunteer & Stakeholder Coordination
* Recruit, coordinate, and support event volunteers, ensuring clear roles and adequate coverage
* Liaise with community partners, sponsors, donors, and vendors to ensure a smooth and professional experience
* Represent VOKRA at events with professionalism and enthusiasm
Marketing & Promotion
* Collaborate with the marketing team to develop and execute event promotion strategies
* Coordinate the creation of event materials (posters, social media assets, signage, etc.)
* Write or contribute to copy for emails, press releases, and online posts promoting events
Budgeting & Reporting
* Monitor event budgets, track expenses, and ensure cost-efficiency
* Collect and analyze event data and feedback to inform future planning
* Prepare post-event reports with highlights, learnings, and recommendations

Required Qualifications:
* Minimum 2 years experience in event planning, fundraising, or related fields
* Demonstrated ability to manage multiple projects, deadlines, and stakeholders
* Excellent organizational, communication, and interpersonal skills
* Strong attention to detail and ability to adapt to changing needs
* Proficiency with Google Workspace and familiarity with project management tools
* Comfortable working independently and as part of a volunteer-driven team
* Flexibility to attend occasional evening or weekend events
